A fantastic opportunity has arisen in Kent for an eager individual to join the dynamic office team of Colin Batt Removals and help grow our well respected and multi-award winning family business. We are recruiting for an Office Assistant who has superior customer-facing and administration skills.

Your tasks and responsibilities will be wide and varied covering the full spectrum of office tasks, including handling internal and external customers from initial contact through to after sales support, scheduling appointments and maintaining office supplies. You will also ensure any problems are prevented or identified and resolved efficiently and, working alongside your team members, you will look to continually improve the business. Therefore you will be able to or have:

• Strong organisational skills, excellent attention to detail and administrative skills.
• Confident with MS Office, MS Word, MS Excel and Office 365 applications.
• Initiative and be self-motivated.
• A can do attitude and a reliable team player.
• Anticipate needs before they arise.
• Flexible and logical approach to problem solving.
• Ability to multi-task and prioritise.
• Manage a busy diary.
• Excellent customer service skills, with a friendly and tactful telephone manner.
• Excellent communication skills, both oral and written with colleagues and customers.
• Excellent numeracy skills.
• Experience in the haulage industry would be advantageous but is not essential.

Whilst this role is customer focused you must also be able to handle all business administrative functions, from filing, raising invoices and booking vehicle maintenance. You will be trained to carry out all tasks, including but not limited to:

• Data entry and maintenance of databases, filing systems and archive records.
• Answer telephone and respond appropriately.
• Meet and greet customers and suppliers.
• Process invoices and enter accounts records.
• Liaise with suppliers/customers via email and phone.
• Perform general clerical duties.
• Sign and distribute mail packages.
• Maintain office supplies.
• Coordinate and maintain records for staff, customers and suppliers.
• Set up, coordinate and manage appointments for surveyors.
• Book vehicle maintenance activities.
• Carry out any other administrative duties that may be assigned to you by the management when required.
• Maintain clean and safe office environment and arranging when necessary repairs and regular testing for electrical equipment and safety devices.
• Respond appropriately to customer enquiries.

The job will require up to 45 hours a week, Monday to Friday, based around office hours, although on occasions some flexibility may be required. Part time applicants are welcome if you are able to provide a minimum of 25 hours a week during core office hours, your pay would be pro-rata of Full Time Employment dependent upon your hours worked. You will spend the majority of time based at our office in Ashford, although some travel may infrequently be required. In return you will receive a competitive salary, 20 days holiday per year (plus bank holidays) and a workplace pension.
