As our business continues to grow, we're looking for an organised, proactive and motivated Operations Coordinator to become a key member of our office team.

This is far more than a traditional administration role. You'll be at the heart of the business, coordinating engineers, supporting customers, improving workflows and helping ensure every day runs as smoothly and efficiently as possible.

About the Role

As Operations Coordinator, you'll be the central point of communication between our customers, engineers and suppliers, helping to keep jobs running efficiently from the initial enquiry through to completion.

Every day brings a steady flow of work and responsibility, from coordinating engineers’ schedules and organising emergency breakdowns to ordering materials, preparing invoices and assisting with quotations and estimates.

You'll be trusted to take ownership of your work, identify opportunities to improve the way we operate and play a key role in helping the business continue to grow.

Key Responsibilities

• Planning and coordinating engineers' schedules
• Booking appointments and managing jobs to completion
• Acting as point of contact for customers and engineers throughout the day
• Answering telephone calls and responding to emails professionally
• Ordering materials and liaising with suppliers to ensure jobs run efficiently
• Supporting the planning and management of operational workflows
• Maintaining accurate job records and documentation
• Preparing customer invoices and assisting with quotations and estimates
• Entering supplier invoices and supporting accounts reconciliation
• Delivering excellent customer service and resolving customer enquiries
• Identifying opportunities to improve office processes and operational efficiency

About You

We're looking for someone who is organised, takes pride in delivering excellent customer service and remains calm under pressure.
You'll be confident managing multiple priorities while communicating effectively with customers, engineers and suppliers.

Ideally you'll have:

• Excellent organisational and time management skills
• Strong communication and customer service abilities
• Confidence using IT systems, email and telephone communications
• The ability to prioritise workloads in a fast-paced environment
• A proactive approach with strong problem-solving skills
• Previous experience in an operations, office administration, scheduling or customer service role
• A full UK driving licence

Experience within plumbing, heating, construction, maintenance, facilities management or another service-based industry would be highly advantageous but is not essential.

Experience using job management or accounting software would also be beneficial.
