Office Manager with PA experience required to provide support to an IT Director and senior Management team.

Key duties

* Provide confidential and pro-active assistance and support to the IT Director, being the main point of contact to ensure the smooth and efficient running of their diary, deliverables, communications, and interfaces internally and externally
* To coordinate meetings, phone calls, travel arrangements and other interface requirements for the Director of IT and IT Leadership Team
* To work with the PA's and departments around the business to facilitate collaboration and knowledge sharing in line with departmental KPIs

Key Tasks

* Deal with extremely sensitive information professionally with total integrity and confidentiality
* Deal with incoming post/email, using own initiative and experience to assess what should be passed the Director of IT and what can be dealt with independently
* Co-ordinate travel arrangements for the Director of IT and IT Leadership team as appropriate
* Deal with all correspondence and administration for the Director of IT, including photocopying, scanning, typing letters, emails and memos, ensuring the company standard formats are used as appropriate and confidentiality is maintained - ensure all correspondence is accurately distributed
* Arrange meetings for Director of IT, ensuring appropriate facilities are available as required
* Attend and minute meetings as required by Director of IT
* Prepare Board reports / papers /bulletins as required by Director of IT, assisting with preparation of presentations as required

Knowledge & Skills

* Experience as a secretary/PA
* Ability to organise/prioritise workload and to work unsupervised, at times under pressure
* Self-motivated with high degree of initiative
* Absolute discretion and confidentiality in all matters
* Able to monitor budgets and control expenditure
* Able to communicate clearly - effective telephone manner
* Able to liaise with members of the department/company at all levels
* Team worker

This is a temporary role to start immediately, with an expensive handover with the existing PA. For the right candidate this role could progress to a permanent opportunity. Once fully trained Hybrid working is offered.

Hours are Monday to Friday 0900-1730
