We are looking for an Office Administrator to come and work at our offices in Hersden, Canterbury. This is a full-time role, working 40 hours a week from 08:30am to 17:30pm to assist the Office Manager and Operations Manager with administrative tasks. Due to location, own transport is required and there is free on-site parking available.
We are looking for a candidate who is self-motivated, with excellent written and verbal communication skills who can work independently or as part of a team.
Daily tasks include:
• Answering the phone – forwarding calls and recording accurate messages for colleagues
• Taking sales enquiries via phone or email – gathering all required data to set up the customer in CRM software
• Monitoring company email inboxes – forwarding emails to colleagues or answering queries
• Diary management – scheduling of appointments and servicing as directed
• Drafting, formatting, and print relevant documentation, photocopying and filing.
• Frequent interaction with company directors, supporting their requests.
• Following up on jobs attended to monitor customer satisfaction
• Following up on quotes sent for acceptance or feedback
It is essential that candidates have:
• Education level at GCSE/ equivalent or above in English and Maths
• 1 years’ experience of working in a service facing role
• Experience of working independently and with a team
• Strong ability to multitask and maintain an overview
• Ability to complete admin tasks in an accurate and timely fashion
• Proficiency in Outlook, Word and Excel where required.
• Strong interpersonal skills, with the ability to relate well to both clients and staff
• Ability to act with confidentiality, tact and discretion
• Excellent telephone manner
• Good organisation skills with a high level of accuracy and attention to detail
