We are looking for an ambitious and enthusiastic person to join our friendly team in Rainham, Kent as part of our fast-paced Operations Department.
This role is ideal for someone with excellent attention to detail who enjoys reviewing documentation, monitoring completed works, and ensuring jobs are processed accurately and compliantly. You will play a key role in supporting the delivery of our fire, life safety, and property protection services by reviewing engineer reports, timesheets, certification, and job records, while helping ensure smooth operational performance.
Working closely with engineers, clients, and the wider operations team, you will ensure work is completed in line with company procedures, accreditation requirements, and client Service Level Agreements (SLAs).
Full training will be provided.

Key Duties and Responsibilities
- General administrative duties and responding to client and engineer enquiries.
- Reviewing completed engineer reports, timesheets, maintenance certificates, service reports, quotations, and job documentation for accuracy, completeness, and compliance.
- Validating completed works against service schedules, contractual requirements, and asset records, ensuring all activities have been correctly recorded.
- Monitoring, reviewing, and chasing outstanding documentation to support the timely and accurate closure of completed jobs.
- Identifying remedial actions, follow-on works, and quotation opportunities from completed reports.
- Recording job outputs, verifying asset completion, and monitoring performance against client KPIs and SLAs.
- Raising invoices and ensuring all supporting documentation is in place prior to billing.
- Updating internal systems, compliance trackers, and management reports.
- Assisting with the coordination of planned, reactive, and remedial works as required.
- Ensuring work is processed efficiently with a consistently high level of accuracy and attention to detail
Skills and Experience
Essential
- Excellent attention to detail.
- Strong organisational and administrative skills.
- Ability to work effectively in a fast-paced environment.
- Good communication skills, both written and verbal.
-Strong IT skills, including Microsoft Office.
- Ability to review and interpret technical documentation.
- Proactive and organised approach to workload management.
Desirable
- Experience within fire and security, facilities management, engineering, or service industries.
- Experience reviewing engineer reports, certification, or compliance documentation.
- Knowledge of CAFM/MIS systems.
- Understanding of SLAs and compliance requirements.
